Deposits: 50% of the total reservation
Payment Policies: We gladly accept MasterCard, Visa and Discover Card. A Major Credit Card is necessary to have on file. Debit Cards are accepted however, keep in mind that your debit card may have a spending limit. Be sure to contact your bank if you are planning on using your debit card. A pending authorization may appear on your online banking and will remain for several days as a hold. This amount will be released after several days. This is not a double charge. We do not accept personal checks. If you would like to pay by money order or cashier’s check, you may do so as long as you payment is made within 14 days after your reservation and 30 days prior to your arrival date. No exceptions.
We gladly accept cash payment; however you must plan to arrive to our office during business hours (Office hours are posted on the website). Prior arrangements must be made in order to pay cash upon arrival. You are welcome to pay with a cashier’s check or money order if the payment is made 14 days prior to arrival. However, if paying by cashier’s check or money order, a major credit card is required to hold a security deposit of $100 per bedroom or a cash security deposit of the same. After departure the security deposit will be refunded by check with in the same week of departure as long as there are no damages.
Cancellations: We have a NO REFUND policy. You may change your reservation, 14 days prior to arrival without a rescheduling fee. If you need to cancel your reservation, you would need to do so 14 days prior to arrival in order to receive a gift certificate type form. The gift certificate amount would be for the total amount deposited and would be good for one year from the date of arrival. You must cancel 14 days prior to arrival.
If something unforeseen arises and you need to cancel within the 14 days prior to arrival requirement you will be subject to a cancellation fee of no less than 25% of the total amount and your deposited amount would be forfeited. In some cases, a rescheduling fee is assessed and gift certificate is issued with a 6 month expiration date. We do offer a type of trip Insurance called Deposit Guarantee; this is an additional fee of 7% and does allow for a cancellation 48 hours prior to arrival. If the Deposit Guarantee is added to your reservation, a refund of all monies except for the 7% will be issued within 5 business days.
Arrival/Departure: Check-in is 3 pm. Please do not expect to check in early. However, if you are in the area before 3 pm, stop by the office. If your cabin is clean and ready we will be happy to allow you to go to the cabin. If it is not ready we will gladly take your cell number and contact you should the cabin come available before 3pm. Due to our high standards for cleanliness, there is a chance that not all units will be ready for check-in promptly at 3 pm, especially during peak and holiday season. We ask for your patience and suggest that you have alternate plans for a couple of hours in case your unit is not ready. Alpine Mountain Chalets offers several check-in options.
If your cabin is paid in full and all check-in documents are returned properly filled out and a signature is on file, you can opt to receive directions to your cabin via email. Upon arrival you will call the office for the code to the cabin, between the hours of 12 noon and 5pm, unless you are arriving on Sunday. The Sunday hours for calling are 2pm to 5pm. If you have purchased tickets or packages that need to be picked up; our office hours are 9am to 5pm Mon – Sat. If you have a balance, please make arrangements to be at our office before 5pm EST., at which time we will give you directions and the code to access your cabin along with any tickets or packages that you may have purchased. If your cabin is paid in full, and you did not opt to receive directions to your cabin via email, you can pick up your check-in documents and any purchased items at our office prior to 5pm EST. Otherwise, contact our office for the late check in procedures.
Please keep in mind, if your cabin is paid in full and we have not received your check-in documents properly filled out, we ask that you come to the office before 12pm (noon) the following day to complete your check in documents. Guests who do not complete check in documents by the end of business hours the day after arrival will be assessed a $50.00 late processing fee.
